Invite Your Team to FeedbackPulse
After creating your Organization, add teammates and assign roles. You can create teammates first without inviting them, then send account setup invitations after the reporting structure is ready.
User permissions
Section titled “User permissions”Admin and Manager are two independent permission toggles on a User’s profile, not a single exclusive role. A User can have neither turned on (a plain Employee), one, or both at once. Only an Admin can change these toggles for another User.

How to add teammates without inviting them yet
Section titled “How to add teammates without inviting them yet”Use this when HR wants to build the org chart before employees receive login emails.
- Go to Settings > Team Management or Team
- Click Add Teammate
- Enter the teammate’s name, work email, role, and profile details
- Use Reports To to assign their manager
- In Invitation, turn off Send account setup invitation
- Click Create Teammate
The teammate is created as Not Invited. They can stay in the roster while you finish the structure, and you can send their account setup invitation later from their profile.
How to invite teammates immediately
Section titled “How to invite teammates immediately”Use this when you want the person to receive a login setup email as soon as they are added.
- Go to Settings > Team Management or Team
- Click Add Teammate
- Enter their details and reporting line
- Keep Send account setup invitation turned on
- Click Create Teammate
Each invited teammate receives an email with a link to create their account.
How to import teammates from CSV
Section titled “How to import teammates from CSV”Use CSV import when you are setting up many teammates or already have the reporting structure in a spreadsheet.
- Go to Settings > Team Management
- Download the CSV template
- Fill in each teammate’s email and optional fields such as name, role, department, job title, and
manager_email - Leave Send account verification invitations off if you only want to set up the structure
- Upload the CSV and review the import summary
Each upload processes up to 100 rows. Existing teammates are updated by email.
Setting up the reporting structure
Section titled “Setting up the reporting structure”Each Employee should have exactly one Manager assigned. This relationship determines:
- Who can initiate Review Cycles for that Employee
- Who sees that Employee’s review results
- Who appears in team-level analytics
To assign a Manager:
- Go to Team Members
- Click on the Employee’s name
- Under Reports to, select their Manager
- Click Save
Setting up multi-level visibility (Department Heads, executives)
Section titled “Setting up multi-level visibility (Department Heads, executives)”You do not need separate share links to give Department Heads or executives visibility into their part of the org. Set it up once through the Reports to chain and access updates automatically as people respond.
Reports to relationships can be chained across as many levels as your org needs. Visibility flows up that entire chain, not just one level:
- If Employee reports to Manager A, and Manager A reports to Manager B, then Manager B automatically sees Employee’s aggregated Survey and Review results too, not only Manager A’s.
- A “Department Head” is simply a Manager whose direct reports are themselves Managers. No separate Department Head role or setting exists; set it up by chaining Reports to relationships.
- To give someone visibility across the whole Organization (a CEO, for example), turn on the Admin toggle for them instead of just Manager. Admins see all data regardless of the reporting chain.
This access is live: as soon as someone submits a response, it is included in their Manager’s (and their Manager’s Manager’s, and so on) results the next time that report page loads. No manual link generation or re-sharing is needed.
Rules and constraints
Section titled “Rules and constraints”- Each User belongs to exactly one Organization.
- Admin and Manager are independent toggles on each User; a User can have neither, either, or both turned on.
- Each Employee reports to exactly one Manager (or none, if unassigned), but that Manager can in turn report to another Manager, so visibility flows recursively up the full chain.
- A Manager can manage multiple Employees.
- An Admin can also have the Manager toggle turned on for specific Employees.
- Admin and Manager toggles can be changed at any time; changes take effect immediately.
- Deactivating a User removes their login access but preserves all historical data.
Frequently asked questions
Section titled “Frequently asked questions”Q: Can someone be both a Manager and an Employee? A: A User with the Manager toggle on can still participate in Surveys and complete self-assessments like any Employee. They can also be reviewed by their own Manager (if one is assigned above them).
Q: What happens when I deactivate a User? A: The User cannot log in. Their past Review data, Survey responses, and feedback are preserved for historical reporting. You can reactivate them at any time.
Q: Can I bulk-import Users from a CSV?
A: Yes. Use Settings > Team Management to import teammates from CSV. Include manager_email when you want FeedbackPulse to set reporting lines during import.
Q: Do I need to generate a separate link for each Manager, Department Head, and executive to see their results? A: No. Once the Reports to chain is set up, each Manager automatically sees results for everyone below them in that chain, with no manual link generation needed. Share links (see Share Survey Results with Colleagues) are only for giving access to people without a FeedbackPulse account.
